Dear all,
As you are aware, the key to a safe and well managed vessel is a structured and auditable safety management system and effective crew training.
Different vessels have different folders and filing systems in order to retain all the various documents they need. Often folders have out of date documents and for those managing the system or inspectors or auditors looking for documents it can add a lot of time and stress.
We are proposing to introduce (in partnership with Safety Folder) a standardised system for vessels to file all their relevant documents which will cover the entire SMS. This will make it easier for anyone to locate any particular form. This will mean that a minimum of 80 of the vessels in the fishery will all have the same standardised, colour coded and indexed SMS. I copy below in blue the description from Robert Greenwood of Safety Folder.
This is simply a standardised filing system, it does not mean that you need to change or update your existing documents.
The U.K. system has 4 binders, but there is a chance you may need a few extra due to vessel size and crew size.
All of the documentary guidance is in the operational manual, which then references the location of the documents. The Safetyfolder can be used as it is now, and printed to one of the binders or left online.

3. Safetyfolder (SOP’s and Risk Assessments)
4. Crew and vessel documents
Binder 4 will need to be split in two separate binders.
It may also be necessary to have a binder for hours of work and rest and crew pay?
Our intention is to give primacy to the Flag Language, with English as the second language on the binders.
We produce tabbed separators for the sections specific to the needs of the system, which is to be agreed with you and your colleagues.
This project will run along with the FISH Platform Project, and should get good recognition for the fishery as being progressive. One thing to be careful of is that the vessels need to have their own version of the system and it will require their input to develop once the basic structure is agreed. Ideally they will modify and adapt the SMS as needed.
