Your assignment is to rate your colleague’s memo based on your company rubric listed below.
In your organization, you know that the Memo To Client must meet company standards (rubric). Here is the expectation as articulated by your organization:
1. A short, concise mission statement for this database.
2. A list of tables (at least five) with at least one sentence about the purpose for each. At this point this is only preliminary—just provide some initial thinking with respect to the tables you believe “might” be needed.
3. Create a shortlist (at least three) questions you wished would have been asked in the initial interview.
4. We know that some of the tools used in systems analysis and requirements gathering include observation, interviews, questionnaires, focus groups, and brainstorming sessions. Pick one of these techniques and create a set of well-developed questions (at least seven questions) with which you will begin the activity. Then, decide which group or groups of people you will use the technique with. As you don’t know everyone’s names, you can call out specific kinds of people: programmers, analysts, etc. Finally, relay what your expectations for this activity will be—what do you hope to get out of it?
5. The format is a Progress Report. For information on how to write a memo, read the section on “memos” from Introduction to Professional Communications. (Link to memo information here.)
Your colleague believes the memo they provided for you to review meets these expectations. (Hint: your colleague missed some things). Rate the memo to the client in each of these areas. Along with your rating, give a sentence or two of feedback for each category in the rubric. If there are any categories where you do not see any issues that need correcting, then include the block of text from the memo that meets the rubric for the category.
Rubric. Each category is worth a maximum of 5 points. When checking grammar, I suggest you use a free tool like Grammarly.
Submission:
• You will submit a single document in either Word or PDF format to Blackboard. This document will be your feedback to your colleague regarding the memo they wrote to the client.
Example assignment.
Note this example is not for the Memo To Client in this assignment. It is from an imaginary Memo. The purpose is to show you the format that your assignment should take.
Grammar: Rating – 3.
Nearly every paragraph has spelling mistakes. I could understand the intent of your document, but more attention to spelling should be provided.
Database Mission Statement. Rating – 5.
The database mission statement is clear. “The database will track the number of coffee orders and the customers who purchased them”
Objectives: Rating – 3.75.
Table names were not provided with any of the objectives.
Additional questions. Rating – 3.
One of the questions was not appropriate for DB analysis. The question “What other tables would you like to see?” implies that your customer knows what tables they want. This is a technical DB question that can only be answered by a DB professional like you.
Additional Analysis Too requested. Rating 4.75.
You requested a questionnaire and listed 6 questions.
Memo Format. Rating 3.
The conclusion is missing.
Total rating – 22.5 out of a possible 30
